Acceptable Use Policy
What no workspace may do with Recruit Buddy: discriminate, reject people without a human decision, mislead candidates, or misuse their data.
Effective 13 October 2026
The short version: hire fairly, let a person own every rejection, be honest with the people who apply, and use their data only for the job they applied for.
01What this covers
This policy applies to every workspace and every person using Recruit Buddy: the console, the careers sites it publishes, the API and anything connected to it. It is part of the Terms of Service. It exists because a hiring platform makes decisions about people’s livelihoods, and the people affected (candidates) never agreed to these terms and cannot see what happens behind the careers page.
02No discrimination
You may not use Recruit Buddy to treat anyone less favourably because of a protected characteristic, including:
- filtering, ranking or rejecting candidates on race, colour, ethnicity, national origin, religion, sex, gender identity, sexual orientation, pregnancy, age, disability, genetic information, veteran status or any other characteristic protected where you hire;
- doing the same through a proxy: graduation year as a stand-in for age, a name or a photo as a stand-in for ethnicity or sex, a postcode as a stand-in for race, a gap in employment as a stand-in for parenthood or disability;
- writing scorecard criteria, knockout questions, AI hiring principles or job-specific AI instructions that ask for any of the above (“prefer recent graduates”, “digital natives only”, “must be a native speaker” where the job does not need it);
- reading or using candidates’ voluntary self-identification answers for anything except the aggregate fairness report. Recruit Buddy keeps those answers away from the hiring team and the AI; do not try to recover them.
Blind screening is on by default and removes names, contact details, photos, ages, graduation years and gendered words before the AI reads a CV. Switching it off is your decision and does not change this policy.
03A person owns every no
Recruit Buddynever declines an application on the AI’s say-so: a recommended decline waits for a member of your team. You may not get around that, including by:
- building an automation, an API integration or a script that accepts the AI’s decline recommendations without a person reviewing each one;
- bulk-rejecting applications you have not reviewed, on the strength of a score alone;
- using knockout questions to reject people automatically. A knockout flags an application for a person to look at; it never declines anyone by itself, and must not be used as if it did;
- ignoring a candidate’s request for human review only, or sending their application to a model some other way.
04Be honest with candidates
- No fake jobs. Do not advertise a role that does not exist, collect applications for a role you have already filled with no intention of considering anyone, or use a job ad to harvest CVs.
- No fees. Do not charge candidates to apply, interview, be trained or be hired, and do not use Recruit Buddy to run a scheme that does.
- No phishing or identity theft. Do not ask candidates for bank details, government identifiers or passwords through application questions, messages or offer letters, beyond what a lawful hiring step genuinely needs at that point.
- Tell candidates that AI assists your review, keep the careers site’s notice accurate, and explain decisions when a candidate asks.
- Send marketing (campaigns, job alerts) only to people who agreed to receive it, and honour every unsubscribe.
05Respect candidates' data
- Only put people in Recruit Buddy you have a lawful basis to hold: do not import scraped profiles or bought lists.
- Use candidate data for recruiting. Not for monitoring current employees, not for marketing unrelated products, and not for building a profile of a person to sell or share.
- Do not export candidate data to share it with anyone outside your hiring process without the candidate’s agreement.
- Act on deletion and withdrawal requests promptly, and do not keep data longer than you need it.
The platform itself
- Do not probe, scan or load-test Recruit Buddywithout our written permission, try to reach another workspace’s data, or upload malware in a file.
- Do not resell or sublicense access, or share accounts between people.
06Reporting misuse
If you think a job ad, a message or a workspace on Recruit Buddy breaks this policy, including a job you applied for that does not seem real, email support@workflowcorp.com with what you saw and a link to it. You do not need an account to report something.
07What happens if you breach this
Depending on how serious it is, we may remove content, suspend a careers site, suspend members or a workspace, or end the agreement, and where the law requires it we report what we found. For fraud against candidates or discrimination we may act first and explain afterwards. Where it is safe to, we tell the workspace owner what we found and why we acted.
